Pay: $22.00 - $25.00 per hour

SUMMARY:

The Junior IT & Data Support Specialist provides daily technical support to attorneys and staff, maintains the firm’s computer equipment inventory, and performs ongoing data maintenance within the firm’s case management system. The role also prepares client reporting, develops data sets for analysis, and supports administration of internal and client-facing systems. This position is entry level and ideal for someone early in their IT or data career who is organized, detail-oriented, and eager to grow.

Technical Support

  • Provide first-level support for hardware, software, printers, mobile devices, MFA, and network connectivity issues.
  • Assist with workstation setup, login issues, and support for commonly used applications (Microsoft Office, Teams).
  • Troubleshoot and resolve routine IT issues promptly, escalating advanced issues when necessary.

Equipment & Inventory Management

  • Optimize equipment.
  • Maintain and manage accurate inventory of laptops, desktops, monitors, mobile devices, and accessories.
  • Track equipment assignments, returns, replacements, and lifecycle updates.
  • Prepare, configure, and deploy hardware to employees.
  • Coordinate hardware repairs and warranty service with vendors.

Case Management System Support & Data Maintenance

  • Perform routine data cleanup, updates, and maintenance within the firm’s case management system.
  • Update status fields, tasks, timelines, and document logs in accordance with legal team needs.
  • Support user account setup, permissions changes, and role access requests.
  • Assist with bulk updates, data corrections, and quality-control reviews.
  • Serve as an administrator for client portals and systems, ensuring accurate data transmission and user access.

Client Reporting & Data Processing

  • Prepare basic client status reports and respond to ad hoc client reporting requests.
  • Compile data from multiple sources to create complete data sets for analysis and reporting.
  • Process and analyze data using Excel tools such as pivot tables, VLOOKUP, filters, charts/graphs, and basic macros.
  • Generate reporting and summaries for internal legal teams and operations.

Communication, Teamwork & Workflow Support

  • Listen to, communicate with, and support team members to understand department goals and help execute tasks that align with those goals.
  • Work cross-functionally with Legal, Operations, and DataOps teams to support reporting and system needs.
  • Multitask and prioritize effectively in a fast-paced environment, moving efficiently from one task to the next.
  • Clearly document processes, recurring tasks, and troubleshooting steps.

MINIMUM REQUIREMENTS:

Language Skills: Ability to read and interpret documents such as legal files, business correspondence and procedure manuals; ability to write routine reports and business correspondence; ability to speak effectively, both in person and by telephone, to clients, representatives, and other employees of the firm.

Communication Abilities: (Verbal) Expresses oneself clearly in conversations and interactions with others; tailors speech to the level and experience of the audience; uses appropriate grammar and choice of words; expresses ideas in a concise, organized manner; (Written) Expresses oneself clearly and concisely in writing; tailors written communications to effectively reach audience where appropriate; uses graphics and other aids to clarify complex or technical information; spells correctly; writes using concrete, specific language uses punctuation correctly; writes grammatically.

Technical Skills: Intermediate proficiency with Microsoft Office Suite; intermediate proficiency with web-based case management systems preferred.

The regular work schedule for this position is 40 hours per week (Monday-Friday; daytime) and may require additional hours/overtime as necessary. Must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include: Close vision, Distance vision, Peripheral vision, Depth perception, Ability to adjust focus and Ability to match or detect differences between colors, including shades of color and brightness. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; use fingers and hands or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The work environment is as follows: Professional office environment; the noise level in the work environment is usually moderate.
