Overview
We are seeking a detail-oriented and proactive IT Coordinator to join our dynamic team. The ideal candidate will play a crucial role in supporting our IT infrastructure, ensuring optimal performance, and supporting various technology initiatives. This position requires strong technical skills, excellent communication abilities, and a commitment to delivering high-quality IT services.
Based in Newark, NJ (with some travel to boarding homes)
Key Responsibilities:
1. IT Support & Troubleshooting
- Serve as the first point of contact for staff experiencing technical issues (hardware, software, network).
- Provide onsite and remote troubleshooting support for desktops, laptops, printers, and basic software issues.
- Coordinate with external vendors for advanced support when needed.
2. Device & Network Management
- Maintain an up-to-date device inventory across all locations (boarding homes, office spaces, etc.).
- Set up new PCs, laptops, and other devices for staff, including naming conventions and asset tagging.
- Ensure all devices are properly secured, regularly updated, and functioning efficiently.
- Ensure all existing infrastructure is properly setup.
3. User Management & Access Control
- Administer Microsoft 365 accounts, including creating, disabling, and managing users.
- Ensure all staff sign in using Microsoft login credentials and enable 2-Factor Authentication (2FA) for all accounts and devices.
- Manage password resets, access requests, and account security protocols.
4. HIPAA-Compliant Infrastructure
- Ensure all IT processes and configurations meet HIPAA compliance standards.
- Support secure data access and storage practices, especially for Kipu EMR, Microsoft 365 and Ring Central.
- Maintain documentation and protocols for HIPAA IT audits.
5. Office and Boarding Home Tech Setup
- Set up and maintain Wi-Fi networks, routers, and other basic networking equipment across locations.
- Recommend and implement optimal router placement for multi-floor buildings.
- Provide basic printer support and coordination for maintenance or replacement.
6. New Hire Onboarding & Training
- Support onboarding of new staff with necessary hardware, email accounts, and access to required systems.
- Create simple tech onboarding guides or SOPs for staff.
7. Vendor Coordination
- Liaise with outsourced IT consultants, EMR vendor Kipu, Verizon, GigXero, and other third-party providers.
- Track service requests and escalate when internal solutions aren’t sufficient.
8. IT Project Support
- Assist with implementation of new systems (e.g., punch clock rollout, security camera upgrades, etc.).
- Participate in rollouts of tools like Microsoft Copilot, Topaz digital signature pads etc.
9. IT Process Documentation
- Create and maintain internal IT SOPs, checklists, and quick-reference guides.
- Track open support issues and IT tickets (basic ticketing system or spreadsheet-based system is fine to start).
Ideal Qualifications:
- 1–3 years of experience in IT support or related field (nonprofit or healthcare preferred but not required).
- Familiarity with Microsoft 365, HIPAA basics, and desktop/network troubleshooting.
- Reliable transportation to travel between multiple sites.
- Strong communicator who can support non-technical staff and explain things clearly.
Job Type: Full-time
Pay: $60,000.00 per year
