POSITION SUMMARY

The Learning Management System (LMS) Administrator is responsible for the daily management, optimization, and creative development of the company’s learning platform—primarily within the Wisetail LMS environment. This role ensures that training content is accurate, up-to-date, visually engaging, and easily accessible for users across all brands and locations. The ideal candidate blends strong technical LMS capabilities with graphic design skills and provides general administrative support, including mailroom responsibilities.

You will collaborate closely with Operations, HR, Training & Development, IT, and vendor partners to maintain learning systems, publish new training materials, and support a seamless learner experience.

ESSENTIAL FUNCTIONS

WHAT YOU’LL DO

Design & Production

  • Design, produce, and update a wide range of materials, including training guides, build sheets, menus, posters, BOH/FOH forms, signage, and one-sheeters for all brands.
  • Manage and execute all graphic projects for Earl Enterprises brands, including print layout, digital graphics, image retouching, and brand templates.
  • Support Creative, Marketing, HR, and Operations teams with design needs, ensuring materials align with brand standards and specifications.
  • Prepare, print, and finish production assets including lamination, spiral binding, trimming, and packaging.
  • Create mock-ups and visual renderings for store renovation concepts, menu designs, or new brand launches.
  • Collaborate with Creative leadership on brand-specific projects such as Chicken Guy!, Planet Hollywood, and other brands.

Digital & Multimedia Content

  • Develop and upload training modules and materials for all brands using Wisetail LMS (branded YNN (Your Napkin Notes).
  • Create, edit, and upload training videos, including adding QR codes, visual graphics, and captions.
  • Design and build digital graphics for internal training platforms, marketing initiatives, and brand communication tools.
  • Use AI tools (e.g., ChatGPT) to assist with copywriting, headline development, and artwork generation for training and creative projects.

_ Cross-Functional Collaboration_

  • Partner with HR to update and format digital forms, training materials, and onboarding documents across all brands.
  • Support Operations and Culinary teams by creating branded LTO (Limited Time Offer) materials and ensuring files are distributed through appropriate systems.
  • Work closely with VDC and the Creative Department to execute promotional and branded projects on time and within scope.
  • Collaborate with Finance on presentations, decks, and visual communication projects for executive review.
  • Assist other departments with special requests including logo formatting, resizing, or rebranding assets for various recruiting or marketing platforms.

_ Production, Logistics & Administration_

  • Oversee all FedEx shipping coordination for training materials, booklets, posters, and other printed assets for all restaurant brands.
  • Track and manage shipments to ensure timely delivery of materials to corporate offices, restaurants, and franchisees.
  • Maintain and organize production room supplies, including FedEx materials, printing stock, and production tools.
  • Sort and distribute mail and packages, including USPS and internal shipments.
  • Handle administrative tasks such as answering or routing Ring Central voicemails, scheduling FedEx pickups, and maintaining delivery records.

_ File Management & Quality Control_

  • Maintain a centralized digital archive of all brand assets, design files, and photography.
  • Ensure all creative materials are named, formatted, and stored according to established procedures.
  • Proof and review all creative and production materials for accuracy, consistency, and compliance with brand standards.
  • Update and catalog templates for recurring items such as training packets, brand decks, and print collateral.

WHAT WE’RE LOOKING FOR

  • Bachelor’s degree in Graphic Design, Marketing, or Communications, or equivalent experience.
  • 5+ years of experience in graphic design or creative production, preferably within restaurant, hospitality, or retail industries.
  • Experience in Wisetail LMS
  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat) and working knowledge of video editing tools (Premiere, After Effects).
  • Strong understanding of print production, pre-press processes, and file preparation for vendors.
  • Experience with FedEx systems and shipping logistics is a plus.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication and interpersonal abilities for working cross-functionally across departments.
  • Meticulous attention to detail, ensuring accuracy and brand integrity in every deliverable.

Job Type: Full-time
