Job description

THIS IS A REMOTE POSITION BUT CANDIDATES MUST BE BASED IN US.

Overview

The Manager, IT Systems, is responsible for providing support for the strategy, planning and execution of ACG’s technology initiatives. This role will assist in the day-to-day management of the organization’s association management system, Drupal website platform, standalone WordPress websites, dashboard and visualization tool, data warehouse and future platforms. Reports directly to VP of IT Systems.

Responsibilities

Association Management System (AMS)

  • Become an expert of Rhythm the organization’s Association Management System.
  • Manage the day-to-day function of Rhythm, which contains 290,000 customer records and 45,000 annual membership and event registration transactions.
  • Maintain and configure functionality in Rhythm, such as 360 forms, custom fields, console forms, portal forms, member directory, membership processes, membership packages, chapter dues products, general ledger codes, payment processors, bank accounts, business units, month-end financial reports, and integrations with other tools.
  • Perform mass updates to correct data irregularities
  • Recommend the adoption of new functionality or configurations to support organization's business operations.
  • Handle beginning of the month tasks, such as ending expired memberships, deleting open invoices of expired members, removing order banners from expired members, running the auto-renewal process, and running proforma invoices for members expiring in 60 days (about 2 months)
  • Create and manage support tickets to final resolution for the organization.

Websites

  • Assist in the oversight of website vendors for Drupal and standalone websites.
  • Confirm quarterly security and maintenance updates are applied to Drupal platform and microsites.
  • Ask vendors for Level of Efforts (LOEs) for site improvements.
  • Work with HQ and Chapter staff on requirements for site improvements.
  • Create support tickets for the organization.
  • Teach staff how to use website features.
  • Upload or create content to sites for staff.

Cross Department Support

  • Respond to questions from ACG departments about available platform functionality.
  • Make recommendations to ACG departments about how to better leverage ACG’s platforms to support their departments and ACG’s customers.
  • Create or deactivate user accounts for platforms the technology team manages.
  • Participate in calls as a technical resource with current and future vendors to address questions about existing technology stack, potential integrations, and available data.
  • Act as a liaison between technical vendors and staff for technical projects such as integrations, new reports, report changes, platform improvements, platform updates and adding new fields.
  • Collaborate with VP of IT Systems on testing new tools and platforms for the organization which includes the following:
  • Schedule initial and follow-up demonstrations of the solution.
  • Meet with internal stakeholders after the demos to confirm the organization should move forward with the solution.
  • Arrange requirements gathering sessions with the vendor to develop a Statement of Work (SOW)
  • Provide feedback on SOW drafts from vendor. Ensure all requirements are captured. Meet with internal stakeholders if necessary to make sure all requirements are in the SOW.

Cybersecurity

  • Promote best practices to prevent cyber-attacks against ACG’s platforms.
  • Assist in Managing the Organization’s Security Managed Services Provider

Technology Budget

  • Review annual Technology budget draft with VP of IT Systems to ensure all technology related expenses are captured.
  • Ensure technology expenses stay within budget throughout the year.
  • Alert VP of IT System if a project or support retainer is at risk of running over budget.

Required skills

  • 3-4+ years of experience supporting AMS and/or CMS Platforms
  • 3-4+ years of technology project management with associations.
  • Advanced working knowledge of Microsoft Office 365. Knowledge of Microsoft CoPilot and Azure is a plus.
  • Working knowledge of dashboard and visualization platforms and data warehouses.
  • Experience in vendor management.
  • Maintain project timelines and ensure adherence to deadlines.
  • Proficiency in project management software/tools (e.g., Monday.com, Asana, SharePoint, and Jira)
  • Strong technical writing skills for development of Standard Operating Procedures.
