Collegewise believes that the college admissions process has spun out of control for high school students and their parents. Too much anxiety and confusion. Too much obsession with prestigious colleges. Too little appreciation for the wonderful educations and experiences waiting at so many schools beyond just the famous ones. And we’re out to change all of that. Together, we’ve built the nation’s largest college counseling organization with over 70 highly trained counselors injecting guidance, perspective, and occasional cheerleading into the admissions process for the families who join our programs. Since 1999, we’ve helped over 28,000 A-students, C-students, and everyone in between find, apply to, and attend the right colleges for them.

What You’ll Do

As our Operations Coordinator, you’ll be the behind-the-scenes hero who keeps everything running smoothly. You’ll power the systems that support students in their journey to college. Here’s a snapshot of what your day-to-day will might look like:

  • Manage Internal Tickets: You’ll ensure that all operational requests are addressed promptly and efficiently, whether you’re troubleshooting tech or user issues, responding to a request for data, or improving processes. You’ll also partner with internal and external teams when we need additional support.
  • Collaborate with Different Teams: You’ll work closely with our internal teams to manage data, brainstorm solutions, and implement them. You’d regularly review referrals with the counseling team and update dashboard data for the sales team. You’ll also work closely with our development team to maintain the executive dashboard, and partner with internal teams as operational support.
  • Optimize Systems: You’ll assist in integrating new tools and initiatives to keep us ahead of the curve, like implementing a new onboarding process with the People team or updating custom reporting from Hubspot. You’ll use and evaluate our systems, identifying ways to level up our infrastructure.
  • Analyze and Interpret Data: You’ll help compile and analyze data, both on your own and as a partner to internal teams. Whether that means wrangling a messy marketing report into actionable information or compiling recent feedback to identify system wins and frustrations, you’ll use data to help us make thoughtful, informed decisions.
  • Look For Improvements: You’ll constantly look for opportunities to improve the tools and processes that power our work. When presented with a problem, you don’t just look for the easy fix–you want to really learn the process so you can avoid that problem in the future.

  • Organized: You’re a master of organization and can juggle multiple tasks and projects with ease.
  • Eager to Learn: You don’t have to know everything (no one does!), but you have to be willing to jump in and learn. You’re adaptable and ready to tackle new challenges head-on.

Bonus System Experience

We’d love to see experience with any of the systems below, but we’re also open to candidates who are willing to jump in and learn:

  • HubSpot or similar CRMs
  • Metabase or similar data visualization and instrumentation programs
  • Knowledge of SQL

Salary, Start Date, and Location

This is a full-time, non-exempt position that starts at an hourly rate of $24 with room for future growth both in both pay and responsibility. We also offer a full suite of benefits that includes vacation time, summer work hours, paid parental leave, and a robust insurance plan. We’d like our new Ops Associate to start as soon as possible, but we can adjust the start date to accommodate the right person. We’re comfortable with the person in this role working remotely, but the ideal candidate will be based in the US or Canada.
