Position Title: Multifamily Operational Systems & Technology Manager

Location: Remote

Reports to: Asset Manager

Property Size: Multi-Building, Mid-Rise, Class: B

Team Oversight: On and offsite Property Management, Managed Vendors.

Cross Functional: Accounting & Finance Department

Role Summary: The Multifamily Operational Systems & Technology Manager is responsible for owning, integrating, and enforcing the use of all operational systems that support the business of multifamily property management. This role ensures that all technology platforms touching leasing, accounting, payments, operations, compliance, and resident experience are correctly configured, fully integrated, actively monitored, and consistently used as intended. This is not an IT role. It is an operations-first role requiring deep, practical multifamily experience and hands-on system fluency. The position carries directive authority over onsite staff as it relates to system usage, workflow compliance, and data integrity. The role begins as single-asset focused and is designed to scale platform-wide as company expands its vertically integrated property management operations. The role is remote, individual contributor, and outcome-driven.

Core Mission: Ensure that every system supporting multifamily operations is: - Properly configured - Fully integrated - Actively used - Consistently complied with - Continuously monitored -- and that system behavior accurately reflects real-world property operations.

Systems Owned

This role owns configuration, integration, monitoring, training, and compliance for all systems including, but not limited to:

Property & Accounting Systems

· Yardi Voyager (system of record)

· Accounting and AP automation tools (e.g., VicAI)

· Banking portals and payment systems (ACH, checks, online banking)

· Payroll and PEO system integrations

· CPA coordination and month-end close support

Leasing, Revenue & Marketing Systems

· EliseAI

· CRM platforms (Knock, RentCafe, etc.)

· Internet Listing Services (Apartments.com, Zillow, Google, etc.)

· Application, screening, lease execution, renewals, and notices workflows

Property Technology

· Access control systems

· Camera systems

· Package management systems

· Smart devices and hardware (iPads, kiosks, etc.)

Key Responsibilities

System Ownership & Integration

· Configure, maintain, and optimize all operational systems

· Ensure seamless integration between Yardi, leasing tools, accounting platforms, and auxiliary property technologies

· Identify system gaps, failures, or inefficiencies and propose solutions

· Coordinate procurement and deployment of approved technology and hardware

Workflow Enforcement & Compliance

· Enforce correct and complete use of systems by onsite staff

· Direct staff to correct improper usage, skipped steps, or workarounds

· Ensure compliance with Fair Housing, accounting controls, internal policies, and data integrity standards

· Serve as the authority on “how work is done in the system”

Training & Enablement

· Design, deliver, and maintain system training for all onsite roles

· Train new hires and retrain existing staff when compliance drift is detected

· Update training materials as systems or workflows evolve

· Ensure staff competency, not just exposure

Monitoring & Reporting

· Actively monitor system health and user behavior

· Detect issues such as:

o Unresponded or stalled EliseAI conversations

o Incomplete move-ins or missing steps in Yardi

o Incorrect unit statuses, charges, or workflows

o Off-system tracking or manual workarounds

· Produce a weekly systems compliance and health report covering:

o System usage compliance

o Backlogs and breakdowns

o Root causes (user behavior vs system configuration)

o Corrective actions taken or required

Continuous Improvement

· Recommend system enhancements, process improvements, and future tools

· Prepare systems and workflows to scale from single asset to platform-wide use

· Act as the connective tissue between operations, finance, leasing, and technology

Authority Boundaries

This role has directive authority over system usage and compliance Does not have independent spending or contracting authority Identifies needs, recommends solutions, and coordinates execution upon approval.

Qualifications & Experience

· Minimum 5+ years multifamily property management or operations experience

· Demonstrated hands-on expertise with Yardi Voyager and EliseAI

· Strong familiarity with leasing technology, CRMs, and AI leasing tools (EliseAI or similar)

· Practical understanding of accounting workflows, payments, and compliance

· Proven experience training and enforcing process discipline with onsite teams

· High comfort diagnosing operational problems through system data

Job Type: Full-time

Pay: $73,199.23 - $88,153.91 per year
