Position Summary:
The Health Information Systems Specialist is responsible for overseeing all functions related to medical records management and the electronic health record (EHR) system across on-site and off-site child behavioral health
programs. This role ensures the accuracy, security, and compliance of medical records while serving as the primary liaison between staff, leadership, and the EHR vendor. The Health Information Systems Specialist plays a key role in supporting clinical documentation standards, staff training, and regulatory compliance.
ESSENTIAL JOB FUNCTIONS:

Manage the format, quality assurance, filing, storage, and archiving of medical records for all programs.

Serve as the system administrator for the electronic health record, including:

Providing support and guidance to staff on EHR-related questions.

Coordinating and delivering EHR training and education for new and existing staff.

Acting as the primary liaison between the organization and the EHR vendor.

Maintain confidentiality and security of all medical records, including handling subpoenas, court testimony, and other records custodian duties.

Collaborate with the Director of Compliance and Quality Improvement to review and recommend updates to ensure compliance with Joint Commission and state licensure standards.

Support fiscal accountability by ensuring documentation procedures align with organizational policies.

Identify and facilitate correction of documentation deficiencies to meet regulatory standards.

Oversee the movement, access, and security of all medical records and charts.

Ensure adequate inventory of medical records supplies to meet operational needs.

Develop and run reports within the EHR to audit documentation quality and support continuous improvement.

Perform other duties as assigned by the Director of Compliance and Quality Improvement

This is a full-time, in-office position.
Starting Pay:
$21.00 per hour
Requirements:
Qualifications

Associate’s or Bachelor’s degree in Health Information Management, Healthcare Administration, or related field and/or Minimum of 2–3 years of experience in medical records management or EHR administration, preferably in a behavioral health setting.

Strong knowledge of HIPAA, Joint Commission, and state regulatory requirements.

Experience with EHR systems (e.g., Credible, Epic, CareLogic, Netsmart) and reporting tools.

Excellent organizational, communication, and problem-solving skills.

Ability to train and support multidisciplinary staff in EHR use.

High attention to detail and commitment to data integrity and confidentiality.
PHYSICAL DEMANDS

Position requires frequent standing, walking, bending, and lifting of medical records or supplies (up to 25 lbs).

Ability to walk across a multi-building campus to access records and support staff.

Use of computer and office equipment for extended periods.

Occasional travel between on-site and off-site program locations.
