Hospitality House is an emergency shelter and housing provider, serving low-income and homeless residents in Nevada County. Hospitality House provides pathways to housing by bringing homeless residents into a compassionate circle of community care that offers shelter, housing resources, sustenance, opportunity, dignity, and hope as they transition from homelessness to housing.

The Data and IT Manager is a data and technology expert playing a critical role through data analysis and reporting, team management, and IT support. The ideal candidate brings a high level of professionalism, organization, attention to detail, and ability to work in both individual and team settings to our fast-paced non-profit organization.

Data Manager Pay Range

$32.00 - $34.00 per hour.

POSITION SUMMARY

Under the supervision of Program Officer the Data Manager is responsible for overseeing all data entry, auditing, and reporting, database maintenance, and internal database and software training. In coordination with HR Director, the Data Manager also serves as an liaison to outside managed services providers (MSP).

ESSENTIAL DUTIES AND RESPONSIBILITIES

Data Entry, Auditing, and Reporting

  • Oversees all program participant data entry tasks, ensuring all information is entered on-time and accurately.
  • Reports key data discrepancies to the Program Officer, relevant department directors, and the Executive Director as applicable timely and correctly.
  • Ensures staff data issues are responded to in a timely, courteous, and effective manner.
  • Manages databases ensuring timeliness and accuracy through regular database clean-ups.
  • Creates workflows that promote efficiency in data collection.
  • Manages confidential data and information in accordance with best practices, Hospitality House policy, HIPPA guidelines, and Federal and State law.
  • Prioritizes and coordinates work to ensure deadlines are met with accuracy.
  • Ensure data quality through data review, auditing, and report running; ensure data related corrections are communicated to staff and supervisors effectively and in a timely manner.
  • Troubleshoots data issues.
  • Develops department standard operation procedures (SOPs).

IT Support

  • Oversees the agency IT and equipment programs ensuring equipment is properly setup and maintained.
  • Troubleshoots IT issues.
  • In coordination with the HR Director, serves as agency liaison to the managed service (MSP) provider, cell phone and landline companies, and other IT related vendors.
  • Researches new process and systems to ensure effectiveness and efficiency.

Training

  • Oversees the agency’s internal software program ensuring new and existing staff receive software related trainings. Offers support and feedback.
  • Ensures all applicable Hospitality House staff are trained on internal database systems through onboarding and ongoing coaching.
  • Troubleshoots training related issues.

General Leadership and Other Duties

  • In coordination with the Executive Director and Leadership Team and through effective communication, develops and implements a strategic framework with effective processes that uphold Hospitality House’s values, principles, vision, mission, and priorities.
  • Provides inspirational leadership and direction to staff that ensures the continued development of a professional organization.
  • Directs available resources as needed and within budget.
  • Participates in the agency’s annual budget development process, proactively making any budgetary requests.

Duties as a Hospitality House Employee

  • Serves as an agency ambassador.
  • Adheres to staffing schedules in order to provide adequate/safe staffing coverage and to accomplish program objectives.
  • Attends and participates in one-on-one meetings with supervisor, weekly staff meetings, monthly all staff meetings, and team building gatherings.
  • Fosters open and collaborative relationships with other team members and management.
  • Develops healthy community relationships and maintains a positive program image.
  • Maintains working knowledge of fire, safety, health, and work standards to help provide a safe and positive environment for all.
  • Ensures confidentiality and data privacy standards are met or exceeded at all times.
  • Recognizes and performs the duties of a mandated reporter as outlined in federal, state, and local regulations as appropriate.
  • Assists at Hospitality House sponsored events as needed.
  • Maintains grounds security at all times.
  • Travels as required.
  • Shelter duties as assigned.
  • Other duties as assigned.

EDUCATION AND/OR EXPERIENCE

Bachelor’s degree (B.A) from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as schedules, safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and write routine office communications, schedules, lists and emails. Ability to speak effectively with groups of volunteers, members of the general public and employees of the organization.

COMPUTER SKILLS

To perform this job successfully, an individual should have knowledge of the following: Windows 11, intermediate level Excel skills, Outlook, Edge Browser, data entry, cell phone, and other basic office computer skills. An eagerness and ability to learn more advanced Excel and other tools.

ATTENDANCE

Must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.

BUSINESS NECESSITY

The needs of Hospitality House may be dependent on responding to and anticipating rapidly changing external and internal demands in all aspects of how business is conducted. This may include, but is not limited to, organization structure, finances, goals, personnel, work processes, technology, and customer demands. Therefore, it may become necessary to make modifications to how business is conducted, and work is accomplished, with minimal or no advance notice to employees. Accordingly, the employee must be capable of adopting with minimal or no advance notice, to change in how business is conducted, and work is accomplished, with no diminishment in work performance.

SUPERVISORY RESPONSIBILITIES

This position currently has no supervisory responsibilities.

CERTIFICATES, LICENSES, REGISTRATIONS

Current vehicle insurance and a valid CA state driver’s license.

OTHER SKILLS, ABILITIES, AND QUALIFICATIONS

  • An interest in working with members of vulnerable populations especially those experiencing homelessness.
  • Understands and adheres to Health Insurance Portability and Accountability Act regulations.
  • Can ensure that agency programs are available to eligible people regardless of religious belief, or affiliation, race, color, national origin, handicap, or sexual identification or orientation.
  • Possesses a natural ability to show compassion and empathy while also being firm, fair and consistent in upholding the rules of Hospitality House.
  • Implicitly understands how to de-escalate situations to encourage the best possible outcome.
  • Holds a firm understanding of self-care and actively engages in it as a means to decompress.
  • Possession of strong knowledge of data processing, computer systems, and other standard office equipment is required.
  • Uses initiative and independent judgment within established guidelines.
  • Knowledge of HMIS systems is preferred.
