Job description
Rainier Clinical Research Center (Renton, WA) is seeking a full-time Receptionist/Office Assistant to support front desk operations and administrative functions in a fast-paced clinical research environment.
Rainier Clinical Research Center is a privately owned clinical research site with over 30 years of experience conducting clinical trials for pharmaceutical, biotechnology, and medical device sponsors, with a specialty in diabetes research. All studies are conducted under the supervision of board-certified physicians.
The Receptionist/Office Assistant serves as the first point of contact for study participants, visitors, sponsors, and vendors and plays a key role in supporting day-to-day site operations while maintaining professionalism, confidentiality, and regulatory awareness.
Primary Responsibilities
Front Office & Participant Support
- Answer, screen, and route incoming phone calls in a professional and courteous manner
- Greet, check in, and direct study participants, visitors, sponsors, and vendors
- Maintain a welcoming, organized, and participant-focused reception and waiting area
- Facilitate participant intake, including:
- Collection and verification of demographic and contact information
- Accurate entry of data into the CTMS and/or other site systems
- Scanning and uploading participant documentation per site procedures
- Maintain awareness of participant confidentiality and HIPAA requirements at all times
- Assist with participant flow and notify clinical staff of arrivals and delays
- Other duties as assigned
Technology & Office Systems Support
- Support daily functionality of office technology, including phone systems, copiers, and printers
- Assist with onboarding new hires by coordinating workstation setup (computers, monitors, phones, peripherals)
- Label and track IT assets in accordance with site inventory procedures
- Coordinate service requests and work orders for network printers and office equipment
- Maintain organization of server and technology storage areas
- Serve as first point of contact for basic troubleshooting and escalate issues as appropriate
Clinical & Research Operations Support
- Schedule, confirm, and document participant appointment reminder calls
- Support shipment, receipt, and distribution of study-related and office packages
- Assist with daily chart preparation and distribution per site SOPs
- Clean, prepare, and restock exam rooms in accordance with site and protocol requirements
- Manage clinic laundry and supply restocking
- Order study-related groceries and supplies as requested by clinical staff
- Assist with preparation for sponsor visits, monitoring visits, and audits (e.g., room setup, materials organization)
- Demonstrate basic awareness of Good Clinical Practice (GCP) principles and site SOPs (training provided)
Facilities & Office Management
- Coordinate minor office repairs and communicate facility needs to landlord/property management
- Order and maintain inventory of office supplies, promotional materials, badges, and printed materials
- Manage staff kitchen and common areas, including:
- Dishwasher operation and dish organization
- Stocking beverages, snacks, and coffee stations
- Coordinate mail and shipping:
- Daily FedEx Express pickups and as-needed Ground pickups
- Distribute incoming mail, packages, and deliveries
- Maintain electronic and physical filing systems
- Open and monitor facility work orders
- Water and maintain plants in shared spaces
Administrative & HR Support
- Respond to administrative inquiries and route requests appropriately
- Prepare new hire welcome packets and assist with onboarding logistics
- Coordinate staff and executive lunches and meetings
- Draft and distribute internal communications, including memos and emails
- Retrieve and summarize information from records, email, and documents upon request
- Support AR/AP filing and mailing, including preparation of outgoing payments
- Order gift cards and recognition items as needed
- Provide administrative support to executive leadership and department directors (HR, Quality, Operations, Finance, Contracts)

- Proficiency with Microsoft Office Suite and ability to learn new systems (CTMS, EDC, scheduling software)
- Ability to manage multiple priorities in a fast-paced, regulated environment
- Demonstrated ability to handle sensitive and confidential information
Education & Experience
- Bachelor’s degree in a related field preferred
- 1–3 years of experience in a receptionist, administrative, or office assistant role preferred
- Experience in healthcare, clinical research, or medical office settings a plus (not required)
Physical Requirements
- Prolonged periods of sitting and working at a computer
- Ability to lift up to 25 pounds
- Ability to work onsite at the Renton, WA office
Schedule
7am – 4:30pm, Monday thru Thursday and 7am-11am on Friday.
Job Type: Full-time
Salary: $21 - $27 per hour, overtime eligible

Company Education Allowance:
- Education Grant - Employees are eligible for a $200 education grant after one year of employment to be used for professional development or continuing education courses related to medical or research activities.
- Tuition reimbursement - Employees who have worked for the Company for a minimum of two years will be eligible for tuition reimbursement of 50% of the cost of tuition up to a maximum of $1500 per year to be reimbursed for professional development programs or courses related to medical or research activities. to receive the education allowance.
- Educational Reimbursement for Professional Employees (MD, ARNP, RN, or RD). Professional employees who are required to complete a certain number of educational hours to maintain their licensure will be reimbursed to the limits specified in the Company Educational Allowance. The licensure that is being maintained must be a credential that is utilized for employment with the Company such as a MD, ARNP, RN or RD license.
