Job description
FUNCTION
To develop, maintain, educate, and enhance Torchlight Youth Mentoring Alliance database systems through various activities, functions and support.
ACCOUNTABILITIES
JOB RESPONSIBILITIES:
- Responsible for managing, collaborating, analyzing, reporting, enhancing and configuring multiple databases ( Greater Giving, Salesforce, and IMS).
- Develop, document, and maintain systems to manage donor organization.
- Continue to educate self on trends and updates related to said agency databases.
- Create data storage and retrieval systems that are transparent with all agency database systems listed above.
- Priority focus of database management will start with main donor database platform (Salesforce) and will flow to other databases accordingly.
- Prepare materials for database management meetings.
- Manage annual solicitations and marketing events through coordination of activities for direct mailings.
- Manage and maintain up to date agency contacts in database systems to be used for marketing campaigns.
- Coordinate and communicate with Director of Strategic Initiatives updated records, and information related to donor information. (matching gifts, sponsorship, campaign donors, ect.) Before deleting a record or data information, communicate with Director of Strategic Initiatives to approve.
- After agency events or campaigns, as well as if requested, provide information, which may include a donor profile list of the top donors.
- After agency events or campaigns, generate donor thank you lists and letters for all donations; including in kind and monetary. A copy of the thank you letter will be kept in a binder for thank you acknowledgements.
- Responsible for keeping a monthly list of in kind donations for audit purposes.
- With Director of Strategic Initiatives and Events, and Executive Director, assist in planning, developing, and implementing strategies related to donor development.
- Monthly data base reconciliation which includes status tracking of donor profiles (change of address, death, employment change).
- Ensure security and confidentiality of system information and related reports.
- Maintain copies of all transcribed data, emails, memorandums, and minutes database related. Maintain corporate retention copies of all acknowledgements and tax documentation provided to corporations, foundations and major donors.
- Carry out other functions, relevant to database operation, as requested by the Director of Strategic Initiatives and Leadership Team (Executive Director, Operations Director and Director of Strategic Initiatives and Events)
- Operate within the guidelines imposed by the standard operating procedures of the agency.
MEETINGS:
1. Attend periodic Board meetings as requested or as the need requires.
2. Participate on Board committees as assigned by the Executive Director.
3. Meet with Supervisor monthly.
PROFESSIONAL DEVELOPMENT:
1. Attend appropriate professional training sessions and Torchlight conferences.
2. Participate in appropriate professional associations.
OTHER:
1. Operate within the guidelines imposed by the standard operating procedures of the agency and the Personnel Policies.
REQUIREMENTS
1. Bachelor’s Degree preferred.
2. Minimum two years experience in business and/or nonprofit environment.
3. Detail oriented
4. Excellent communication skills, specifically with composition, editing, proofreading, spelling and grammar.
5. Knowledge of personal computer systems and related software (Greater Giving, Salesforce, Excel)
6. Must be flexible and able to adapt to changing projects, priorities, and needs.
7. Must show initiative in completion and follow up of assigned projects.
8. Must be able to work independently as well as with a team.
9. Must be detail oriented.
Pay: From $19.50 per hour
