Job Summary:

We are seeking a detail orientated and experienced Bookeeper/Accountant to join our team. The Accountant/Bookeeper is responsible for managing and overseeing the day-to-day financial operations of the company, including general accounting, financial reporting, payroll processing, tax compliance, and account reconciliation. This role requires strong attention to detail, a deep understanding of accounting principles, and recent experience (within the last 2 years) in payroll and business tax filings. The ideal candidate will ensure that the company’s financial procedures comply with regulations and support accurate, timely reporting to management. This is a full-time, 40-hour-per-week position with a flexible schedule within standard business hours (Monday–Friday, 8:00 AM–5:00 PM).

Duties and Responsibilities:

General Accounting

  • Maintain and reconcile the general ledger, including preparing and posting journal entries.
  • Prepare financial statements including balance sheets, income statements, and other internal reports.
  • Maintain the chart of accounts and assist in fiscal period opening/closing.
  • Monitor and analyze accounting data to produce financial reports.

Accounts Payable and Receivable

  • Manage full-cycle accounts payable and accounts receivable processes.
  • Generate customer invoices and statements; post payments and cash receipts.
  • Prepare deposit slips and process collections.

Banking and Reconciliation

  • Maintain daily cash balances and update bank accounts.
  • Prepare monthly bank reconciliations.
  • Maintain checkbooks and petty cash accounts.
  • Reconcile credit card statements and process payments.

Payroll and Tax Compliance

  • Process payroll for office and field staff; review timecards and ensure accuracy.
  • Maintain payroll records, vacation accruals, and confidential personnel files.
  • Ensure timely submission and payment of payroll taxes.
  • Respond to tax agency inquiries (IRS, SSA) regarding payroll forms such as 940, 943, W-2, W-3, and 1099s.
  • File and reconcile 401k employee/employer contributions.
  • Submit payroll audits (workers’ comp, 401(k) census, year-end contributions).
  • Maintain and update payroll tax rates and 401(k) limits in payroll systems.
  • Prepare and file year-end reports: W-2s, W-3s, 1099s, 940s, 943s.
  • Process employee bonuses and review earning/deduction codes.

Regulatory and Administrative

  • Prepare weekly flash reports and various government filings (Form 5500-SF, 2290, Environmental Fee Return, Motor Carrier Permit).
  • Assist with insurance renewals, ERISA bond, and other compliance-related documentation.
  • Maintain asset listings, DMV registrations, and general ledger accounts.
  • Process the annual Grower Shipper Questionnaire.
  • Maintain documentation for audits and coordinate with external auditors as needed.

Software & Systems

  • Use accounting software for data entry and reporting (experience with QuickBooks, Famous Software, and PETiger is highly preferred).
  • Troubleshoot and resolve issues with accounting systems or reporting software.
  • Maintain spreadsheets and financial records in Excel (advanced skills required).

Required Skills and Abilities:

  • Ability to work independently and meet strict deadlines.
  • Experience with general ledger, journal entries, and financial reporting.
  • Advanced proficiency in Microsoft Excel and accounting software.
  • Ability to manage multiple responsibilities in a fast-paced environment.
  • Ability to maintain confidentiality.
  • Bilingual (English/Spanish)
  • Typing speed of at least 45 WPM.

Education and Experience:

  • Bachelor’s degree in Accounting, Finance, or related field required.
  • Minimum of 2 years of continuous accounting experience required
  • Expeirence in AG is a Plus

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
  • Must be able to access and work in various departments throughout the company.

Job Type: Full-time

Pay: $30.00 - $36.00 per hour
