IT Coordinator – Managed Service Provider (MSP)

We’re looking for a proactive, detail-oriented IT Coordinator to manage day-to-day support operations, organize technical workflows, and ensure our clients and internal teams receive outstanding service.
Position Overview
The IT Coordinator serves as the communication and coordination hub between clients, technicians, vendors, and management. This role focuses on keeping our service operations organized, efficient, and responsive, ensuring all client needs are addressed quickly and effectively.
Key Responsibilities
Client & Ticket Management
- Answer incoming support calls and assist clients with ticket creation and updates.
- Monitor and prioritize tickets, assigning them to appropriate support staff.
- Handle escalated tickets from the support team and communicate resolutions to clients.
- Coordinate onsite visits, installations, and project schedules.
- Collaborate with vendors and client partners to resolve complex technical or software issues.
Quoting, Procurement & Inventory
- Prepare quotes for hardware replacements, upgrades, and new sales opportunities.
- Conduct hardware audits and identify potential upgrade or sales opportunities.
- Order and track IT equipment, inventory, and office supplies. Maintain accurate documentation of assets, orders, and deliveries.
Team Operations & Development
- Coordinate with the in-store repair team to ensure smooth workflows.
- Assist in company event planning, team-building activities, and staff meetings.
- Organize “lunch and learn” sessions, workshops, and professional development events.
- Support management in maintaining efficient daily operations across teams.
Documentation & Security
- Create and update technical documentation in the company knowledge base.
- Manage security awareness training campaigns for clients.
- Schedule and facilitate internal meetings between staff and management.
- Ensure all documentation and client communications follow HIPAA and data privacy standards.
Requirements
- Extensive experience with end-user computing and IT support processes.
- Proven experience in IT infrastructure planning, security management, and development.
- Strong technical knowledge of networks, PC operating systems, network hardware, protocols, and standards.
- 2+ years of experience in IT coordination, dispatch, or help desk management (MSP experience preferred).
- Experience using PSA/ticketing systems (ConnectWise, Autotask, Syncro, HaloPSA, etc.).
- Excellent multitasking, communication, and organizational abilities.Ability to handle sensitive information with professionalism and confidentiality, ensuring HIPAA compliance.
- Experience in a customer service-oriented IT role is preferred.
Education & Certifications
- Bachelor’s degree in Computer Science, Information Systems, or related field, or equivalent experience.
Preferred Certifications:
- CompTIA A+
- CompTIA Network+
- CompTIA Security+
Preferred Qualifications
- Prior experience in a Managed Service Provider (MSP) environment.
- Familiarity with RMM tools
- Basic troubleshooting and networking experience.
- Vendor management and procurement coordination experience.

Pay: $22.00 - $30.00 per hour
