NOVA (Network of Victim Assistance) is a comprehensive victim services organization in Bucks County. With a 50+-year history, NOVA has expanded to include a continuum of prevention and direct services to prevent and address the needs of victims of sexual abuse and other serious crimes. POSITION SUMMARY
Assist the Director of Development by completing all database and administrative tasks for the department, while assisting with the completion of all private grants for the organization. Responsible for gift entry, generation of acknowledgement letters, pledge reminders, calendar, and data reporting duties for the department. They will ensure accuracy and timeliness in their role, while developing new processes, systems, and procedures to advance the departments success. In addition, they will administer all private grants assigned to the department, by maintaining a grants calendar, and searching for new grants, while ensuring timely completion. When suitable, they will collaborate with each submission. This role provides an excellent opportunity to intertwine gift reporting with grant writing with terrific opportunity for growth within the organization.
ESSENTIAL FUNCTIONS
Database Administration and Management
- Manages all aspects of the database, including posting/acknowledging gifts, updating records, updating actions, generating reports, analyzing data, working with database vendors, implementing all import/export projects, and coordinating all data cleansing projects.
- Controls and maintains code tables, including managing appeals, funds, campaigns, and any other system coding.
- Collaborates with the Director of Development to design and implement campaigns and appeals based on data analysis. Develops and maintains queries/exports for direct appeals, email campaigns, publications, events, and ad hoc projects.
- Tracks and reports to the Director of Development on fundraising progress and donor trends.
Grants Management
- Organizes and monitors the annual calendar of grant proposal submissions and reports.
- Responsible for keeping relevant staff informed of pending deadlines and proposal/reporting needs to ensure timely preparation and submission of grants and reports.
- Ensures that the supporting materials for grants are kept up to date in the grants folder and assists in compiling these materials to ensure the timely submission of grant proposals.
- Assists with searching for grants using various tools and online portals.
- Works alongside the Director of Development to complete grant submissions.
General Development Support
- Performs general administrative duties, including processing gifts, preparing receipts and letters of acknowledgment, and maintaining current and accurate donor files.
- Assists in the coordination of general donor relations activities and mailings. Provide day-to-day administrative support for the Director of Development.
- Responds to donor and potential donor inquiries as required.
- Assist, as needed, in special event planning and execution as part of the Development team.

EDUCATION/EXPERIENCE/QUALIFICATIONS/SKILLS
- Bachelor’s degree or the equivalent of training, education, and/or experience.
- A minimum of three years of experience managing a donor database is required.
- Raiser’s Edge experience is preferred.
- Passion for NOVA
- High attention to detail and administrative excellence.
- Knowledge of Grant Databases and philanthropic landscape preferred.
- Ability to communicate with diverse groups including staff, community professionals, volunteers, Board members, funders, and donors.
- NOVA may require employees to participate in drug testing
- Proficiency with Office 365
LICENSES/CERTIFICATIONS
- Must meet all required background checks (criminal, FBI, child abuse) at hire and every five years after that
- Must provide proof of a valid driver's license
- Must provide proof of valid car insurance with a minimum liability coverage of $100,000/$300,000 upon hire and biannually after that
