Job description

The Facilities/IT Manager oversees all refrigeration, HVAC, and IT equipment and operations. Facilities management focuses on maintaining optimal refrigeration and HVAC functions essential IT functions, including operating systems, security tools, applications and other software, laptops, desktops, servers and other Point-of-Sale hardware and facilities equipment maintenance.

They develop, implement and maintain IT policies and procedures, provide staff training, manage hardware purchases, installation and maintenance, make recommendations for improving infrastructure, and provide general hardware/software troubleshooting across the business.

Additionally, they manage PCI compliance processes, and provide assistance with database management and website maintenance.

They are also responsible for overseeing the cleaning, maintenance, service and repair of all physical (non-IT) assets and equipment in all stores. They serve as primary point of contact for service contractors, and oversee the training of key staff onsite at each store.

Primary Responsibilities- IT Manager:

  • Develop & implement Information Security Policy;
  • Manage IT access & security policies:
  • Manage account/access/setup procedures.
  • Liaise with HR / relevant management to ensure compliance;
  • Liaise with ownership in all aspects
  • Manage network security, including:
  • VPN access;
  • Watchguard Firewalls;
  • Google Workspace administration;
  • Security of physical devices.
  • Manage all IT hardware maintenance, installation and upgrades, including:
  • Desktops in all 3 locations;
  • Laptops where necessary;
  • Peripheral devices (printers, time clocks, etc);
  • POS devices (registers, scales, pinpads, etc).
  • Manage PCI Compliance, including:
  • Annual attestations;
  • Quarterly security scans;
  • Physical checks of devices.
  • Manage Database / ECRS Catapult (POS software platform):
  • Accounts and Settings - customer, staff, security, etc;
  • Web Orders & Loyalty Program maintenance;
  • Promotions settings;
  • Serves as primary point of contact with ECR Software for support tickets, purchasing & general account management.
  • Website Maintenance:
  • WordPress security management;
  • Assist marketing team with website updates.
  • Training & Troubleshooting:
  • Actively trains store managers in areas of IT management as needed;
  • Provide general technical support across all stores (including off-hours emergency support / troubleshooting when required).

Primary Responsibilities- Facilities Manager:

Scheduled Cleaning & Maintenance:

  • Oversees cleaning/maintenance in each store and oversees any delegation of duties;
  • Manages upkeep of monthly, quarterly & annual cleaning & maintenance logs for each store;
  • Updates procedures & logs as required.

Scheduled Service:

  • Coolers / refrigeration (all departments);
  • HVAC;
  • Cafe: Grills, Juicers, Vitamix, Stoves, Ovens, Exhaust
  • Bulk: Nut butter machines and display bins
  • Fire Safety equipment;
  • Lifts, Ladders, Step Stools, Ramps (and other physical access equipment);
  • Doors / Locks (all external & internal);
  • Bathrooms (and other plumbing fixtures);Manages scheduling of regular service calls (seasonal / annual etc);
  • Manages scheduling of required certification (e.g. fire extinguishers);
  • Liaises with Senior Management regarding service contracts as needed.
  • Liaises with Plumbers, electricians and locksmith as needed (HVAC, refrigeration repair, etc.);

Repair:

  • Refrigeration: Maintain a description of each service call for every case in the three stores. This includes the origin of the problem, the call date, the diagnosis of the problem and the resolution of the problem, including the work description and the parts replaced. Each case should have its own History spreadsheet or Word document.
  • Serves as first point of contact for emergency repair calls - requires out of hours availability, to field emergency calls from Managers/MODs, and to place repair calls;
  • Develops / Updates procedure for repair calls;
  • Maintains updated list of Service Contractors for each store.
  • Follows all directions and other duties assigned by management;

Job Type: Full-time

Pay: $50,000.00 - $52,000.00 per year
