Job description
We are seeking a detail-oriented and collaborative Database Administrator to serve as the primary steward of our Salesforce-based CRM platform (Fonteva). This role is critical to ensuring the integrity, usability, and strategic value of our member and organizational data.
The Database Administrator supports membership growth, engagement tracking, and operational efficiency by maintaining high-quality data, optimizing CRM functionality, and empowering staff through training and documentation. This position works closely with teams across the organization to ensure data and systems align with business needs and strategic goals.

Key Responsibilities
CRM Administration & Data Management
- Administer and optimize Salesforce/Fonteva CRM, including workflows, online forms, renewals, and event registration processes.
- Conduct regular data integrity checks and perform ongoing data hygiene and cleanup.
- Establish and enforce data quality standards, validation rules, and maintenance schedules.
- Coordinate with IT staff and vendor partners to support system performance, integrations, and user access.
Reporting & Analytics
- Design and produce dashboards, reports, and analytics to support membership, engagement, and revenue strategies.
- Generate queries and data exports for membership, marketing, policy, and finance teams.
- Support the consistent use of data-driven insights in membership retention and recruitment efforts.
Training, Documentation & Support
- Serve as the primary contact for CRM-related questions and troubleshooting.
- Train staff on CRM features, reporting tools, and member portal functionality.
- Develop clear documentation, SOPs, and standard report templates for staff use.
- Maintain documentation of data sources, data flows, and business rules.
Collaboration & Continuous Improvement
- Collaborate with membership, events, finance, policy, and IT teams to align CRM functionality with organizational needs.
- Support the planning, testing, and rollout of new integrations or added CRM functionality.
- Assist with special projects as needed in support of organizational priorities.
Qualifications
Required
- Bachelor’s degree in Information Systems, Business Administration, Data Management, or a related field (or equivalent experience).
- Three to five years of experience administering Salesforce or Fonteva CRM systems.
- Strong understanding of membership-based data structures, including organizational and individual records.
- Demonstrated experience with data hygiene, reporting, and process optimization.
- Proven ability to train non-technical users and create clear, user-friendly documentation.
- Strong analytical, problem-solving, communication, and collaboration skills.
Preferred
- Salesforce Administrator certification and/or Fonteva implementation experience.
- Experience working in a trade or professional association.
- Familiarity with CRM integrations, APIs, automated workflows, and association management systems.
- Knowledge of membership renewals, event registration, committee management, and governance processes.
Work Schedule
This is a part-time position, not to exceed 20 hours per week. Work is performed Monday through Friday during core flexible business hours.
