Position Overview
As the Inventory & Database Coordinator for the Organic Grower Supply branch, you will be part of a team responsible for maintaining the integrity and accuracy of product and inventory data within our Acumatica ERP system. This position plays a critical role in ensuring accurate product setup, dependable inventory tracking, and cross-team communication. The ideal candidate has strong analytical and problem-solving skills and is comfortable working with various cross-functional teams.
Responsibilities
Data Integrity
- Enter and maintain accurate product data in Acumatica, including product IDs, descriptions, item classes, and attributes.
- Regularly monitor product and inventory data for consistency, errors, or mismatches.
- Conduct regular data audits to ensure data integrity and coordinate with Operations, Product, and Purchasing Teams to verify and reconcile data discrepancies promptly.
- Create and run reports, Generic Inquiries, and data exports to support data accuracy and operational insights.
- Promote a culture of data stewardship and contribute to improving system workflows.
- Play a key role in supporting database upgrades and module testing by validating inventory and product data.
Inventory Management
- Monitor and maintain accurate inventory levels across multiple warehouses and product lines.
- Lead the OGS team in annual physical inventory and cycle counting processes, ensuring data readiness, training, and accuracy.
- Support physical inventory and cycle counts through data reconciliation and post-inventory adjustments.
- Identify opportunities to streamline inventory workflows and improve tracking accuracy.
Documentation & Training
- Create and maintain documentation on product setup procedures, data entry protocols, and system workflows.
- Support training efforts for seasonal and year-round staff on inventory, order fulfillment, and product entry processes.
- Review and manage procedures such as product set-up, purchasing, receiving, and production to ensure consistency.
- Promote consistent use of standards and protocols across Fedco branches.
- Participate in professional development opportunities, as available, and synthesize information from those opportunities for the rest of the team
Support Team Collaboration
- Serve as the OGS representative on the cross-departmental Acumatica Support Team.
- Work collaboratively with Fedco’s Acumatica Support Team, consultants, and other support services to resolve issues and improve ERP usage across departments.
- Effectively communicate department needs while helping to foster a unified, system-wide understanding of Acumatica tools and practices.
- Participate in meetings and projects that promote organizational alignment and improve system-wide operations.
Qualifications
- Excellent attention to detail and the ability to enter data with a high level of accuracy.
- Strong communication and interpersonal skills to work effectively with cross-functional teams.
- Excellent time management and prioritization skills to manage multiple inventory-related tasks.
- Strong analytical skills with a solutions-focused approach to workflow and data challenges.
- Ability to troubleshoot and resolve inventory discrepancies and system issues effectively.
- Proven experience in inventory management or coordination, preferably with ERP systems; experience with Acumatica ERP strongly preferred.
- Experience with inventory management and product databases.
- Proficient in Excel and Google Sheets, and working with CSV files and large datasets.
- An understanding of cooperative values and a willingness to work with a cooperative structure.
